Needs Assessment
The needs assessment is the first and, in many respects, the most critical aspect of any catering services tender project. It allows us a comprehensive understanding of the objectives and service requirements sought by management. Just as important, it helps us to thoroughly understand the expectations of those who currently use or may use the service in the future. What we learn in this stage of the process directly influences what we do in subsequent stages.

Select Tender List
Selecting a Service Provider is an important decision. To get a complete and thorough understanding of what they offer, it is critical to understand not only what services they provide, it is also important to understand their financial status as well as their organizational culture and values. It is essential to conduct extensive research about the market and about each Service Provider. More specifically, a comprehensive pre–qualification process is required. This allows us to build a list of Service Providers that are a suitable match for your organizational culture, the services you require, and who are experienced in your business sector.

Document Design
The document design stage involves the design and development of the invitation to tender (ITT) and specification. High quality and comprehensive documentation concerning the selection of and the formal relationship between you and your catering service Service Provider is essential. In addition to the ITT and service specifications, documentation should also include a draft of your proposed contractual terms and templates that are required for data collection, analysis, and evaluation.

The documentation design stage is important for two reasons. First, these documents establish the mutual expectations between you and the Service Provider you select. This point cannot be overstated. By establishing thorough and precise documentation, you ensure that the successful Service Provider can deliver the standard of service you expect, within the financial parameters to which you agreed.

Second, these documents are an integral part of the ongoing assessment of the Service Provider’s operational performance. They provide a sound basis against which to review established and future service requirements.

Evaluation and Selection
The evaluation and selection process that we use is both methodical and thorough. The first thing that we do is to meet with you to determine the quantitative and qualitative criteria that will be used to evaluate Service Providers, and to weight the criteria in order of importance.

Then we implement the evaluation process within the context of a clearly defined framework based on quality service dimensions.

Transition
The transition from one Service Provider to another can be difficult. Therefore, during this stage we provide three important services. First, we offer guidance and advice to help you and your team manage this phase as efficiently and painlessly as possible. Second, we are available to offer support where necessary. Finally, we monitor the transition to ensure it goes as smoothly as possible. As part of this, we also monitor the Service Provider to ensure that they are implementing service level agreements according to the terms of your contract.

Support Programme
On completion of the project catering contract you will have invested significant time, effort and money in selecting the right contract catering provider through a clearly defined, objective and robust approach. However, this isn’t sufficient to ensure that what has been promised is actually delivered. Only effective contract monitoring can do this.
